We aim to deliver real value with every engagement. This Refund Policy sets out clearly when a refund is available and when it is not, so that expectations are aligned upfront. By purchasing any service from Proposals and More (a brand operated by VGA Technologies Inc.), you agree to this Policy.
1. Strategy Session ($149)
Strategy Sessions are fully refundable if cancelled more than 24 hours before the scheduled call. Cancellations within 24 hours, no-shows, or post-call refund requests are not eligible for refund because the slot was reserved and a senior consultant was prepared. To reschedule (no charge), use the link in your booking confirmation email more than 24 hours before the session.
2. Full Proposal Build (fixed fee)
Full Proposal Build engagements are non-refundable once work has commenced. Work is considered commenced when our team begins requirements analysis (typically within one business day of receiving payment and the RFP materials). If you cancel before work commences, you receive a full refund. If you cancel after work commences but before delivery of the first draft, you receive a partial refund of 50% of the engagement fee. After delivery of the first draft, no refund is available because substantially all of the senior-led work has been performed.
3. Performance-Based engagements
The upfront portion of a Performance-Based engagement follows the same schedule as Full Proposal Build (Section 2). The success fee portion is only invoiced if and when the corresponding contract is actually awarded to you, and is non-refundable once paid.
4. Add-ons (Compliance Matrix, Submission Support, Design, Rush)
Add-on services are non-refundable once delivery work has begun on the corresponding deliverable. Add-ons cancelled before work begins are fully refundable.
5. Premium Submission Package
The Premium Submission Package is bundled and is treated as a single deliverable for refund purposes. Refundable in full before submission work commences; non-refundable after the compliance matrix or submission handling has begun.
6. Retainer engagements
Monthly retainers are billed at the start of each month and are non-refundable for the current month. Either party may cancel for the next month with at least 14 days’ written notice before the next billing date.
7. No refunds for outcomes
We do not refund based on the outcome of any specific procurement. As stated in our Terms of Service, we provide professional proposal services and methodology; the decision of any issuing organization is outside our control. A loss, disqualification, no-bid, or post-submission rejection by the issuing entity does not entitle you to a refund.
8. Stripe processing fees
For partial or post-commencement refunds, Stripe’s payment processing fees may not be refunded by Stripe to us. If applicable, we will deduct unrecoverable processing fees from the refund amount. The deduction is typically 2.9% plus $0.30 per transaction.
9. How to request a refund
Email sales@proposalsandmore.com from the address used at checkout, with your order ID (the “cs_live_...” reference from your Stripe receipt) and the reason for the request. We will respond within two business days. Approved refunds typically post to the original payment method within 5 to 10 business days, depending on your card issuer.
10. Chargebacks
Please contact us before filing a chargeback. We are a small team, and chargebacks consume disproportionate time and money. Filing a chargeback in violation of this Policy or the Terms of Service may result in suspension of services and recovery of chargeback fees from you.
11. Changes to this Policy
Changes to this Policy apply only to engagements purchased on or after the effective date of the change.
